Job Title: HR Coordinator
Reports to: Director of Human Resources
Location: Portland Office with travel to our Seattle Office
FLSA Status: Non-Exempt
Position Summary:
The HR Coordinator is based out of our Portland office and delivers day-to-day people-operations support to both Portland and our Seattle office (plus nearby job sites). Portland will be your home base; you’ll travel to Seattle about once per month, or more often when large onboarding classes or projects arise, to give field and office teams the same high-touch HR experience in both locations. From recruiting and onboarding to benefits enrollment and training logistics, you ensure every employee and candidate enjoys a seamless, consistent journey. You also pitch in on office projects and cross-functional initiatives when bandwidth allows.
Key Responsibilities:
1. Full-Cycle Recruiting Support
- Open job requisitions and coordinate with hiring managers to post positions across job boards and sourcing platforms.
- Source and identify qualified candidates through LinkedIn and resume databases.
- Schedule interviews and manage candidate communication throughout the recruitment process.
- Maintain accurate and up-to-date records in the Applicant Tracking System (ATS).

2. Onboarding Coordination
- Send calendar invites and welcome communications to new hires.
- Manage first-day logistics, including equipment setup, workspace coordination, and office orientation.
- Schedule and support onboarding sessions and required training.
- Act as a primary point of contact for new hires and managers during onboarding.
3. College and High School Recruiting
- Support DEI and recruiting teams with the logistics of career fairs, campus events, and internship programs.
- Assisted with communications with student candidates and tracking program interest.
- Coordinate logistics for summer internship participants, including onboarding and programming.
4. Benefits & Leave Administration
- Assist new hires with benefit enrollment.
- Track enrollment deadlines and gather required confirmations.
- Employee questions: act as Tier-1 help desk on plan coverage, escalate advanced benefits inquiries to HR Director.
- Leave tracking: FMLA, OFLA (OR), WA Paid Family & Medical Leave, WA Cares, workers’ comp, ADA
5. Compliance & Audits
- Policy tracking annual harassment training, licensure/credential expirations.
- Poster upkeep: federal, state, and site-specific for office and job sites.
- Personnel files: maintain digital employment.
6. Office Support
- May provide project assistant support during slower HR periods, assisting with administrative or coordination tasks as required to support broader office or project needs.
- Assist with meeting scheduling, document preparation, and tracking project tasks or timelines.
- Support cross-functional initiatives that benefit from HR insight or administrative support.
- Work with front desk support to manage office supplies and ensure a clean, professional, and organized office environment.
- Coordinate with facilities, IT, and vendors for office needs.
- Support light invoice processing, expense tracking, and mail handling.
Qualifications:
- Associate's or bachelor’s degree in human resources, Business Administration, or related field.
- 1–2 years of experience in HR support, recruiting, or general administration.
- Strong interpersonal and organizational skills, with the ability to prioritize tasks effectively.
- Experience with ATS, HRIS, and Microsoft Office Suite.
- Willingness to take on flexible responsibilities, including project support outside the traditional HR scope.
